This Privacy Policy explains how High Gear Webworx LLC ("HighGear," "HGW," "we," "us," or "our") collects, uses, shares, and protects information when dealerships, employees, contractors, website visitors, and other users access HighGear Velocity, highgearvelocity.com, our related websites, applications, browser tools, communications, and services (collectively, the "Service").
1. Information We Collect
- Account and profile information, such as name, email address, phone number, dealership, title, role, avatar, login credentials, and account preferences.
- Dealership and business information, such as dealership name, team members, billing tier, DMS provider, inventory details, vehicle photos, listing data, post settings, and approval workflows.
- Content and communications that users upload, generate, approve, schedule, publish, or send through the Service, including AI-generated listing copy, captions, customer notes, support messages, and demo requests.
- Connected-platform information, including encrypted access tokens, page IDs, page names, Instagram business account IDs, usernames, DMS connection status, and similar data needed to connect Facebook, Instagram, DMS, CRM, or other services you authorize.
- Usage and device information, such as IP address, browser type, operating system, device type, referring pages, pages visited, clicks, feature usage, session activity, error logs, dates, and timestamps.
- Payment and subscription information handled by payment processors. We do not store complete payment card numbers on our servers.
2. How We Use Information
- Provide, operate, secure, and improve the Service.
- Create and manage accounts, dealerships, roles, invitations, permissions, and support requests.
- Sync inventory, create listing content, assist with AI-generated copy, route posts for approval, schedule posts, and publish content to connected platforms when authorized.
- Connect and maintain integrations with services such as Facebook, Instagram, DMS providers, CRM tools, email providers, SMS providers, hosting providers, analytics tools, and AI infrastructure.
- Send transactional messages, account notices, invite links, service updates, password resets, support replies, and optional marketing communications.
- Monitor performance, troubleshoot errors, detect fraud or abuse, protect accounts, enforce agreements, comply with legal obligations, and defend legal rights.
3. AI and Generated Content
HighGear Velocity may use artificial intelligence providers and internal processing tools to help generate, revise, classify, or optimize listing copy, captions, reminders, and related dealership content. Users remain responsible for reviewing AI output before publishing and for ensuring vehicle information, pricing, claims, and offers are accurate and lawful.
4. How We Share Information
We do not sell personal information. We may share information with service providers and partners that help us operate the Service, including hosting, storage, analytics, security, customer support, email, SMS, payment, AI, DMS, CRM, and connected social-platform providers. We may also share information when you direct us to publish, sync, or transmit content to a third-party platform, when required by law, to protect rights and safety, or in connection with a merger, financing, acquisition, reorganization, or sale of assets.
5. Mobile, SMS, and Messaging Consent
If you provide a mobile number or opt in to text messages, we may send service-related or promotional text messages where permitted. Message and data rates may apply. You may opt out by replying STOP and may request help by replying HELP or contacting us. Mobile information, text-message opt-in data, and consent records are not shared with third parties or affiliates for their marketing or promotional purposes. Service providers may process this information only as needed to support messaging, customer service, security, or delivery of the Service.
6. Cookies, Analytics, and Similar Technologies
We may use cookies, local storage, pixels, tags, logs, and similar technologies to keep users signed in, operate the website, remember preferences, measure performance, understand usage, troubleshoot issues, prevent fraud, and improve the Service. Third-party tools may process limited usage or device data on our behalf. Browser settings may allow you to block or delete cookies, but some Service features may not work correctly without them.
7. Connected Platforms and Third-Party Services
When you connect Facebook, Instagram, a DMS provider, a CRM, or another third-party service, that provider's terms and privacy policies also apply. We request and store only the access needed to perform the actions you authorize, such as showing available Pages, saving a Page selection, syncing inventory, or publishing approved content. You can disconnect integrations from the Service where available or by contacting us.
8. Data Retention
We retain information for as long as reasonably necessary to provide the Service, maintain accounts, support dealership operations, comply with legal, tax, accounting, and security obligations, resolve disputes, enforce agreements, and maintain backups. When information is no longer needed, we will delete or anonymize it where reasonably practicable.
9. Security
We use reasonable administrative, technical, and physical safeguards designed to protect information, including access controls and encryption in transit. Certain third-party access tokens are stored encrypted. No internet or electronic storage system is completely secure, and we cannot guarantee absolute security. You are responsible for protecting your login credentials and for activity under your account.
10. Your Choices and Rights
Depending on your location, you may have rights to request access, correction, deletion, portability, or restriction of certain personal information, or to withdraw consent where processing is based on consent. You may also opt out of promotional emails by using the unsubscribe link in the email. Transactional and service-related messages may still be sent. 11. Children
The Service is intended for business users and is not directed to children under 13. We do not knowingly collect personal information from children under 13. If you believe a child has provided personal information to us, contact us and we will take appropriate steps.
12. International Processing
We and our service providers may process information in the United States and other locations where privacy laws may differ from those in your jurisdiction. By using the Service, you acknowledge that information may be transferred to and processed in those locations.
13. Changes to This Policy
We may update this Privacy Policy from time to time. Updates are effective when posted unless a later effective date is stated. Material changes may be communicated by email, in-app notice, or another reasonable method.
